Policy on Exhibitors and Sponsors

The Association of Health Care Journalists and the Center for Excellence in Health Care Journalism seek to minimize the possibility and appearance of inappropriate influence, and so have imposed limitations on their sources of funding. This includes the types of organizations allowed to exhibit. To see if you qualify to exhibit, please see our fundraising policy.

We will be accepting a limited number of exhibitor applications from not-for-profit associations or societies that represent those who sell health care services or who lobby legislators on health care issues. If you feel you fall into Category C, please send an email to with information about your organization and what services you’d like to highlight at the conference. She will take your request to the committee.

This policy also applies to conference sponsors. Sponsorship comes with exhibitor privileges. We provide appropriate recognition through our marketing efforts before and during the conference. The earlier you become a sponsor, the more bang you’ll get for your buck. Each year, the generosity of our sponsors is what makes our conference such a tremendous success. The conference will be at the Sheraton Atlanta Hotel, 165 Courtland St. NE, in Atlanta. To get the discounted room rate of $139 plus tax per night, please make your hotel reservation by 5 p.m. EST on Monday, March 28 (after that date, if rooms are still available, the price will be higher).

There are two ways to make a reservation:

Please note that if you change your departure date after check-in, a $100 departure fee will be charged to your credit card.

SPECIAL NOTE: Our room block typically sells out long before the above deadline. So, if you want a room at the host hotel, you should make your reservation TODAY.

Don’t forget to sign-up for wireless Internet access when you register to exhibit. The fee for the two-day exhibit period is $150 if you sign up by March 9, but it will go up to $175 if you sign up after March 9. You must sign up at the time you register – we cannot offer this price on site.

Welcome Reception

The conference will kick off with an opening session and reception on Thursday evening. Whether this is your first conference or you are a longtime exhibitor, please join us for networking with AHCJ members, sponsors and other exhibitors at this kickoff event.

This conference will offer you the opportunity to develop long-lasting relationships with journalists who are eager to hear what you have to offer. You will uncover new prospects and leads, fortify relationships, gain exposure and save both time and energy by meeting a targeted audience. We have fabulous space this year and are pleased to offer you an excellent floor plan with continuous traffic.


We will have drawings during dedicated “Exhibit Crawls” on Friday and Saturday of the conference. We will have drawings for a variety of prizes that people must be present to win. We will provide more detailed information as we get closer to the conference.

Assignment of Booth Space

Exhibit space will be assigned according to the date the Exhibitor Registration is received. When possible, AHCJ will try to accommodate exhibitor requests. However, we reserve the right to make location assignments according to space and the variety of organizations in attendance.

Giveaway Policy

According to policies determined by AHCJ's Board of Directors in 2010, items at exhibitor tables should be valued at $5 or less.

Payment Terms

Full payment of the total contracted amount is required at the time the Exhibitor Registration is submitted. Applications submitted without full payment will not be guaranteed space until payment is received. Payment may be made with a credit card or by a check made out to AHCJ.

Cancellation Fees

A 50 percent cancellation fee will be assessed for space canceled on or before March 23. No refunds are accepted after March 23. All cancellations must be submitted via e-mail or fax. No telephone cancellations will be accepted.
